CE Coordinator Guide

 

  • You will complete an Initial Request form for each activity. If approved, the email you receive will notify you of the CE consultant name and email address.
  •  If you are offering registration via the CE Portal, please work with your consultant to convey the terms, opening and closing dates and size of classroom limits, if any.
  • If you require biographical information on speakers for introductory purposes, please let your Consultant know.

Journal Club

After receiving the IRF approval, log into the CE Portal and complete the full application.

The Consultant will ensure that all required CE documents from Planning Committee members and faculty are completed and will contact you if assistance is needed in obtaining these documents.

Work with your Consultant to select your credit claiming option (batch upload, credit claiming code or open access)

Collect slide presentations prior to activity date. Your Consultant will provide you a deadline to submit slide presentations.

Notify your consultant immediately if there are any changes (speakers, planning committee members, rooms, time, content, agenda/contact hours, etc.) after you have submitted the application or after it has been approved. Failure to do so could result in CE credit being revoked.

 

 

After your activity takes place, make sure the person who read the Intro Form signs it and then scan it into your computer.

Collect final versions of slides from all presenters.

Two weeks post- activity, the evaluation survey will close. Your CE Consultant will email you the results of the survey.

Once you’ve had a chance to review the evaluation survey results and you have your final budget for this activity, log into CE Portal (https://ceportal.fda.gov).

Go to My Activity Center ; Click on Manage Activity link under the desired Activity; Click on Activity Close Out ; and you will see there is a Coordinator Closing Report – click on that and complete the two items (suggestions for improvement and final budget). On the same page under Documents section, you will be able to upload the signed Intro Form and final slides by clicking on Upload next to the relevant document titles.

Your work on this CE activity is done!

 

Regularly Scheduled Series (RSS)

After receiving the IRF approval, log into the CE Portal and complete the full application for the overall series approval. **Note that each lecture in the series must meet the approved hours (e.g. 1-hour lectures)

The Consultant will ensure that all required CE documents from Planning Committee members are completed and will contact you if assistance is needed in obtaining these documents.

Work with your Consultant to select your credit claiming option (batch upload, credit claiming code or open access)

Once series application is approved, you are able to submit the individual lectures for approval by clicking on “Submit Lecture” under the series title

The Consultant will ensure that all required CE documents from faculty are completed and will contact you if assistance is needed in obtaining these documents.

Enduring Material

After receiving the IRF approval, log into the CE Portal and complete the full application.

The Consultant will ensure that all required CE documents from Planning Committee members and faculty are completed and will contact you if assistance is needed in obtaining these documents

A post-test is required and a pre-test is encouraged, but optional.

Beta testing is required.

Notify your consultant immediately if there are any changes (speakers, planners, SMEs, content, contact hours, etc.) after you have submitted the application or after it has been approved. Failure to do so could result in CE credit being revoked.

 

1.      Your CE Consultant will email you the results of the survey data to capture Sept 1st - August 31st of each year, for CECAT annual reporting.

2.      Once you’ve had a chance to review the evaluation survey results and you have your final budget for this activity, log into the CE Portal (https://ceportal.fda.gov).
