Custom Emails on the CE Portal

 

Please see below for information on the auto emails sent in the application submission and review flow. Email titles are underlined. These emails can be accessed via the Ce portal Admin menu under Settings > Emails.

Initial Request Submission process:

  • The Submitter clicks on the desired Application type under “My Applications” and fills in an initial request form and submits it.
  • CE Team Lead receives an auto email 1) Initial Request Completed (Internal for Traci) about Initial Request Submission.
  • CE Team Lead reviews and flags Initial Request Accepted = Yes
  • Submitter receives an auto email 2) Initial Activity Requested Permitted (CC'ed to Consultant), and the CE Consultant is CC’ed.

The Submitter clicks on ‘My Applications’ and finds his Application with the Submission Status as ‘Incomplete’ and clicks on the Application title to start the full application

 

Full Application Process:

  1. Submitter assigns Speakers and Planning Committee Members. Auto emails 2. Role Assignment emails. Completes the Full Activity Application.

  2. When Application is submitted, the CE consultant assigned on the Application is sent an auto email 3) CE Consultant Notification(Internal for CE Consultant) for Application review

    1. Alternative to the above: auto email 3) CE Consultant Notification -- NOT IDENTIFIED (Internal for Karen?) - Sent to Sterling when there is no consultant assigned. To send this to someone else, please update the cc addresses in this email template.

  3. The CE Consultant reviews the Full Application, and if going forward flags the CE Consultant Reviewed = ‘Yes’. CE Team Lead is auto emailed 4) CE Consultant Approved Email for the second review. Sent to Sara and Traci.

  4. If the CE Team Lead reviews and decides to move forward with the application, sends a manual email to the CE Program Administrator notifying to complete the final review/edits.

  5. Auto email 8. Application Accepted (AUTO/MANUAL) sent to submitter/coordinator, consultant, and Sara and Traci when the activity is created from the submission mapping.

  6. Auto email CPH Email Notification - Sent to FDACETeam@fda.hhs.gov when the activity is created from the submitter (mapping) when the activity has CPH Recertification Units (CPH) credits and is not an RSS lecture. Turned off

 Recurring Initial Request:

When the Recurring Initial Request is approved Planning Committee Member Email is auto emailed to the PCMs mapped over from the original application
