Approving and Setting up Enduring Materials after Mapping

**Coordinator must provide link to recording and link to slides (if needed) in application under the PLANNING tab/Enduring/Online Module Technical Logistics and links must be tested to determine they work before approving and mapping activity**
 
Step 1: After reviewing the Application click on Final Acceptance/Mapping to map over the application to Activity/Session.
 
 
Step 2: Click on Submit to accept the Application and map it over to an activity.
 
Step 3: You will see the activity listed under activities. Select the activity and confirm that all the required information from the application got mapped over.


Step 4: Select pencil – make sure the STARTS ON/ENDS ON dates are correct. Enter the PARS report year (always current calendar year); Set Public to YES; set claim credit open access to 'No'; hit SAVE



 
 
Note:  As per the site settings, the 'public' flag above, doesn't control the session's visibility in the list of Enduring Materials available to the general public. It is the Eligible participants Data tag that controls it. This tag is automatically set during application mapping.
 
 
Step 5:  Create session evaluation form (refer to the job aid, “How to create and edit evaluation forms”).
 
Step 6: Create pre/post-test (as applicable). Refer to job aid to “How to create pre/post-test forms.” To If you want use a validation code on a post test, follow the instructions available on HM help guide How to add Validation Code to the forms 
 
Step7: Attach the evaluation and the Post test to the session.
 
 
Step 8: Build out the method for delivering the content. Under the session that is associated to the activity, go to Manage Documents > Upload Document.
 
Title : Video link to presentation (Required) or Educational Content .
URL: Copy and paste the URL link
Document status : Reviewed – OK.
Approved – Yes.
Public Use = Public.
Click Save.

 
Step 9:  To add slides, Click on 'upload Document' on the Manage Documents page of the session
 
Title:  Slides
File Name: Upload the file (Note: Ensure you save the document with an appropriate title: e.g. Title of Course _ Slides.)
Type: PDF, Word, PPT etc.,
Click save.
 
 
Step 10 : To make the slides accessible on the Enduring Materials Session Information page, copy the file name and paste it somewhere  where you can copy it later. It should look something like this:

Step 11: From the documents section, click on the Session title to go to the Session page.
 
 
 
Scroll down to the ADDITIONAL INFORMATION text box. (You will see some coding for the announcement is listed in this box already.) To add your additional documents, you will need to place the anchor tag code in the box using this formula:  
 
 
 
Additional Resources: <a href='https://ceportal.fda.gov/files/content/events/INSERTFILENAMEHERE' target='_blank'>INSERTDOCUMENTNAMEHERE</a> The file name is the link you copied earlier. The document name is how you would like the document to be titled on the Activity Page for the front-end user to see.
 
When you are done, save the session page. 
 
You can click on 'Preview', to check on how the information appears on the front end.
 
 
Step 12:  In order to make the Enduring Materials available to all the users, on the session page make sure  Public = Yes; Online Course = Yes
 
 
If you desire only a few people to access it flag Public= No, Private and you could send that particular group of people the Enduring Material URL that you see at the bottom of the page.
 
 
Step 13: Go to Meeting Times  and setup the Credit Claiming deadline. This can be set to the actual dates.  
 
 
Step 12: Using the test claimer account, test the functionality of the enduring material. Test claimer account allows you to test the functionality even when the deadline is not open.
